PTA Board Meeting Recap – August 14, 2025

The South Anna PTA board gathered on August 14th to kick off another exciting school year.

Attendees: April Payne, Candace Stanley, Mrs. Winebarger, Elle Lappan, Paige Cantor, Hunter Sellers, Mrs. Smith, Mrs. Symenow, Melia Motley, Kevin Hershberger, Amanda Dahl, Alayzia Coney, and Mrs. Cecil.

Here are the highlights and updates from the meeting:


Watch D.O.G.S. Program

Kevin Hershberger shared plans to collaborate with the PTA throughout the year. Highlights include:

  • Kickoff Event: Donuts with Dad scheduled for October 1st.
  • Visibility: Sign-up tables at Open House and Fall Festival, plus a banner and smaller t-shirts.
  • Budget: Estimated $500, which Principal Cecil has agreed to cover.
  • Reminders: Quarterly sign-up reminders will go out to families.

Teacher Representative Report

  • 4th grade is still deciding on preferred enrichment programs.
  • Teachers need more information on the Young Scientists program (no website is available; brochures will be provided).
  • A suggestion was made for PTA support in funding SmartBoard updates, repairs, or removals.

Principal’s Report

  • Principal Cecil confirmed the school will fund the Watch D.O.G.S. program.

President’s Report

  • Field Updates: Luck Stone will complete work on the field next week.
  • Buddy Benches: Installed and ready for students.
  • ADA Picnic Tables: Teachers will decide the location of the second table.
  • Future Projects: Gathering teacher input for “big spend” ideas and grade-level initiatives.

Spirit Wear & Communications

  • PTA is requesting more event photos this year to share across social media.
  • Yearbook Committee: Four students will assist with yearbook creation.

Membership Report

  • Congratulations to Alexis Catlett, winner of the kindergarten ice cream social raffle basket!
  • Back-to-School Night will feature two gift card raffles for new membership sign-ups.

Hospitality

  • Amanda will update the hospitality budget once a full list of gift cards is confirmed.
  • Elle is maintaining the list of celebratory school dates.

Grandparents’ Day Breakfast

  • Rescheduled to September 5th.
  • Bulk purchase of paper products (in school colors) will cover events throughout the year.
  • A Google form will be updated to include “student teacher” in the responses.
  • Reminders will be included in the Spirit Rider Scoop and first Tuesday folder.

Advocacy

  • Parents are encouraged to share priorities they’d like PTA to advocate for.
  • Advocacy page to be added to the website.
  • Snack bins will be stocked on the first day of school for students in need.
  • Questions remain around how priorities are voted on and how Capital Day will work (date TBD).

Fundraising

  • Upcoming spirit nights:
    • Gelato Celesti – September 4th
    • Noodles & Company – November 4th
  • A fall event at Hanover Vegetable Farm is also being considered.

Treasurer’s Report

  • Deposits (July 2025): $3,007.33 (mostly Field of Dreams donations/sponsorships)
  • Withdrawals (July 2025): $6,313.83 (insurance, taxes, spirit wear, Field of Dreams, and Outdoor Classroom)
  • Balances:
    • July 31: $5,592.69
    • August 14: $7,397.84
  • Additional Notes:
  • Digital-only treasurer reports will be used moving forward.
  • Draft budget distributed; board feedback requested within one week.
  • Spending must align more closely with fundraising dates this year.

Other Notes

  • No updates from the School Board regarding the filed complaint; all concerns have been addressed.
  • Hospitality committee is working to confirm gift card inventory for budget adjustments.
