South Anna Elementary PTA Board Meeting Summary
Date: June 25, 2025


1. Principal's Report

  • Upcoming Events Collaboration: Discussed PTA's involvement in summer/fall school events.
  • Playground Enhancements: Executive functioning tools added to K–2 playground: Connect 4 and big blocks. Basketball hoop and sand pit in consideration (with Luck Stone support).
  • House System: Sorting occurred on the last day of school. Plan for 4–5 family-inclusive events per house. Ideas to increase participation include live polling at Open House and providing event magnets (possibly sponsored).
  • Additional Playground Needs: The K–2 basketball hoop is broken and beyond repair; PTA support requested. Elle to offer wholesale pricing on second round of staff House System shirts.

2. Teacher Representative Reports

  • Mrs. Smith: House System App ($1800) purchase approved using surplus from 5th Grade Day. Sorting for students on 8/22. PTA board will also be sorted.
  • Mrs. Symenow: Emphasized collaboration between PTA and teachers on program planning. Suggested more grade-specific program scheduling, especially shifting away from mornings for 5th grade. Rebecca and Susan to gather feedback from team leads.

3. President’s Report

Confirmed Events & Dates:

  • Kindergarten Orientation: July 30, 3–4 PM (April attending)
  • Teacher Breakfast: August 11, 8–9:30 AM (April, Candace attending)
    • Open House: August 14, 2:30–5:30 PM (All board members)
    • Potential 12:30 PM board meeting prior
    • Giveaway item needed (budget TBD)
    • Ice cream to be handed out
    • Sign-up sheets and donation lists to be included
  • Grandparents Day: September 8 (led by Hunter)
  • Boosterthon: September 19
  • Kindergarten Breakfast: September 30
  • Fall Festival: October 10 (Amanda and Paige co-chair)
  • Veterans Day Breakfast: November 11
  • Big Ticket Goals:

  • Indoor recess needs (most teachers are stocked)
  • Outdoor Learning & Ball Field upgrades:
    • Cleanout scheduled for 7/16 at 8 AM
    • Proceeding with $3024 field quote if county does not complete work
    • Board unanimously approved

  • Open House: April

  • Holiday Shop: April & Melia
  • Grandparents & Kindergarten Breakfasts: Hunter (+Kristine, Melia, Candace)
  • Veterans Day: Alayzia
  • Science Fair: Amanda
  • Advocacy Committee: Alayzia

PTA Meetings:

  • Now officially 4 per year (as per bylaws)
  • Dates to be set; first during Back to School Night

SCA Event Transition: PTA will not take over events like Penny Wars or coat drives—House leaders will handle.

4. VP Spirit Wear/Communications – Elle Lappan

Spirit Wear:

  • New site with updated designs is live
  • House shirts available on PTA site
  • Ideas: House bows/headbands, pom poms, hats, gear resale from 5th graders
  • Push kindergarten bundles via social media

Yearbook:

  • Proposal to form Yearbook Club with 5th graders approved
  • Cameras donated for students to use
  • Monthly meetings for photo review and design

Paint the Rock:

  • Will request Logan Hickman to paint for PTA

School Décor:

  • Focus on "4 Houses, 1 Family" theme

     

Memberships:

  • Signups moved to Givebacks via PTA website

5. Secretary – Hunter Sellers

  • Coordinating Grandparents and Kindergarten breakfasts (aka Breakfast Czar)
  • Need to establish budgets for all fall events

6. VP Membership – Candace Stanley

  • Membership Drive Starts July 1:

  • Offer discounted spirit wear for early signups
  • Ideas: Volunteer appreciation, social shout-outs, class incentives, QR sign-ups, drop-off line perks
  • Room parents to be recruited at Open House

7. Director of Hospitality – Kristine Tittermary

  • Coordinating Teacher Breakfast
  • Plan for recognition days: explore lunch vs. gift cards

8. VP Fundraising – Paige Cantor

  • Reviewed fundraising strategy (PowerPoint provided)
  • Seeking feedback on ideas and goal-setting
  • Transparency and clear goals to drive more business support

9. VP Programs – Alexis Ragland

  • Met with predecessor to transition role
  • Gathering suggestions and teacher input for new programs

10. VP Advocacy – Alayzia Coney

Current Priorities:

  • School Board policy engagement, fundraising compliance, financial transparency
  • Advocacy flyer to be created for Open House
  • Planning 1 event based on VA PTA priority list

25–26 Goals:

  • SPED liaison, snack bins, literacy/math initiatives, can drive, Capitol Day
  • Proposing two committees under Advocacy

11. Treasurer – Amanda Dahl

End-of-Year Review:

  • Presented final budget summary
  • Highlighted successes and areas for improvement

2025–2026 Budget Planning:

  • Board members to submit budget needs
  • Focus on cost-conscious spending based on fundraising

Budget Requests:

  • Require solid estimates and alignment with goals
  • No excess/spare funds expected

Financial Review Committee:

  • Members: Hunter, AJ, Melia
  • Date/time TBD

12. VP Operations – Melia Motley

  • Will not be on the account this year to remain eligible for audit committee next summer
  • Handling bylaws review and audit coordination
